How can I decide if this website will meet my needs?
Every professional is allowed a one-time 30-day free trial to test out the website with a sample of their clients. No deposit or payment is collected until the final decision to subscribe to the website.
What is the annual cost to use the website?
There is no cost to clients to use the website. Professionals pay an annual fee ($349.00) to use this website, which is less than $1.00 per day for this service. There is no cost for technical support during the subscription period and costs for software, data storage, backups and network management are eliminated. Watch for early bird discounts and special promotions throughout the year!
How secure is this website?
Professional Office Hours collects information necessary for professionals to identify their clients & patients and prepare to render services (name, address, date of birth and phone number). For appointments with health professionals we collect health insurance and payment information (optional). Any information collected is viewed by only the professional and designated office staff and not by Professional Office Hours. Professional Office Hours uses a high level of data encryption. We also use a dedicated secured web server, which is firewall protected. If the professional provides health care services, then the information collected must be protected according to the Health Insurance Portability and Accountability Act of 1996 (HIPAA).
What happens if internet access is interrupted?
There is no need to worry about lost data during power or internet access interruptions as all data is stored on a dedicated server, with regular backups. If power or internet access is interrupted at one location, the information may be available at another location or by wireless access. In areas prone to interruption, printing appointment schedules a day or 2 ahead may alleviate most problems.
What about clients & patients who do not have internet access?
This website accommodates scheduling for both registered and non-registered clients & patients. The major advantage for registered clients & professionals is the option to self-schedule and confirm appointments. Professionals can use this website for all scheduling and time-management activities, including personal appointments, scheduling with other registered professionals and scheduling a variety of professional activities.
Are there any built in safeguards to prevent misuse of the website by clients & patients?
Professionals have the option to pre-screen all new clients requesting to schedule appointments. Professionals can delete registered clients from the database at anytime to prevent misuse of the website. Clients & patients must confirm acceptance of late cancellation and no show policies, if that option is selected by the professional during setup. Professionals can limit the number of active appointments allowed and clients & patients cannot cancel appointments on the website. This website is not for emergency services and appointments cannot be scheduled within 24 hours through the website.

What if I want to view the professional’s availability prior to making a decision to schedule with that professional?
Many of the registered professionals allow non-registered users to view their appointment availability. To determine if that is an option, search for the professional in the Professional Directory and determine if that option is available under the professional’s profile.
What should I do if I lose my password or username?
If you lose your password or username do not re-register as that action will cause problems with confirming appointments since your information could be duplicated in the professional’s database. Select the option ‘forgot password?’ and reset your password. If you forget your username, contact ProfessionalOfficeHours at admin@professionalofficehours.com for further instructions.
How do I cancel an appointment?
Appointments cannot be canceled on this website. If you need to cancel an appointment, contact the professional’s office directly. Do not contact ProfessionalOfficeHours as any delay in contacting the professional might result in late cancellation charges and ProfessionalOfficeHours cannot be responsible for misdirected calls. If the professional permits more than 1 active appointment in the schedule, you can reschedule your own appointment for another date.
How do I schedule an emergency appointment within 24 hours?
This website is not for emergency services and appointments cannot be scheduled within 24 hours through the website. If you need a sooner appointment, please contact the professional’s office directly.
Why can’t I locate a professional in the Directory?
If you are unable to locate a professional using all of the search options available, contact the professional’s office directly to confirm that a professional is registered with this website. Professionals who are not accepting new patients may elect to suspend the search option until new client/patient openings become available.
